PresNa LLC ("PresNa," "we," "us") collects the following categories of information:
All data is encrypted in transit using TLS 1.2+ and at rest using AES-256. Access to customer data is restricted to authorized PresNa personnel on a need-to-know basis. We maintain SOC 2-aligned security practices.
For medical and dental practice clients, PresNa operates as a Business Associate under HIPAA. We provide a Business Associate Agreement (BAA) upon request. Client conversation data collected through medical deployments is handled in accordance with HIPAA requirements. To request a BAA, contact hello@presna.io.
We retain your account data for the duration of your subscription and for 90 days following cancellation, after which it is permanently deleted. You may request deletion at any time by contacting hello@presna.io.
PresNa uses the following sub-processors to deliver our service: Anthropic (AI processing), Stripe (payment processing), Supabase (data storage), Resend (email delivery), and Netlify (hosting). Each operates under its own privacy policy and data processing agreement.
You have the right to access, correct, or delete your personal data. To exercise these rights, contact hello@presna.io. GDPR data deletion requests are honored within 72 hours.

By accessing or using PresNa's platform and services ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, you may not use the Service. These Terms apply to all subscribers, users, and visitors.
PresNa provides AI-powered client communication tools for professional service firms, including 24/7 chat widgets, automated client intake, lead capture, compliance guardrails, and optional add-ons including Voice AI, CRM integration, and custom AI training. Services are delivered on a monthly subscription basis.
New subscribers receive a 14-day free trial. No charges are applied during the trial period. Your payment method is saved at signup but not charged until day 15. You may cancel before day 15 with no obligation. After the trial, your subscription automatically renews monthly.
During the free trial, the AI Voice receptionist is fully active so you can experience it on real calls, subject to a trial allowance of 60 AI voice minutes. This trial allowance is intended for evaluation only; once the trial converts to a paid subscription, your monthly allowance increases to your plan's full included minutes (Essential 300, Professional 600, Pro+ 1,500). If the trial allowance is reached before your trial ends, the AI receptionist will pause until your plan begins.
Every plan includes the AI Voice receptionist, the AI chat widget, lead capture and dashboard, industry compliance guardrails, and managed installation. Plans differ by the number of included AI voice minutes per month and by advanced features.
All prices are in USD. Prices may change with 30 days' advance notice.
Optional add-on services (such as CRM Integration and Custom AI Training, where not already included in your plan) are billed as separate monthly line items on your Stripe subscription and may be cancelled independently of your base plan. The AI Voice receptionist and AI chat are included in every plan and are not separate add-ons.
Each plan includes a monthly allowance of AI voice minutes (Essential 300, Professional 600, Pro+ 1,500). A "voice minute" is measured as connected AI call-handling time, rounded up to the nearest minute per call. Minutes reset at the start of each monthly billing cycle and do not roll over. If you exceed your included minutes, additional minutes are billed at $0.40 per minute and invoiced at the start of the following billing cycle. PresNa notifies you when you reach 80% of your included minutes so you can monitor usage. Most firms never reach their included limit. During the 14-day free trial a reduced evaluation allowance of 60 voice minutes applies (see Section 3); trial minutes are not billed and no overage is charged during the trial — the AI receptionist simply pauses if the trial allowance is reached.
The AI Voice receptionist works by call forwarding: you forward your existing business line to the dedicated PresNa number using your carrier's forwarding codes. You are responsible for configuring and disabling forwarding on your own device and for any carrier charges associated with call forwarding. Calls handled by the AI may be transcribed and, where enabled, recorded so that captured leads and call summaries appear in your dashboard. You are solely responsible for providing any caller notice or obtaining any caller consent required by federal and state call-recording and consent laws (including "two-party" / all-party consent states) and the Telephone Consumer Protection Act (TCPA). PresNa's greetings can include a recording disclosure on request, but you remain responsible for legal compliance in your jurisdiction.
You may cancel your subscription at any time from your account dashboard or by contacting hello@presna.io. Cancellation takes effect at the end of your current billing period. We do not offer prorated refunds for partial months. If you cancel during the 14-day free trial, no charge will be applied.
The PresNa AI assistant (chat and voice) is designed to handle general inquiries and client intake. It is expressly not a substitute for professional legal, medical, financial, accounting, or other licensed professional advice. You are solely responsible for ensuring that AI-generated responses comply with applicable professional standards, bar association rules, licensing requirements, and regulations in your jurisdiction. PresNa's compliance guardrails are designed to assist with this but do not guarantee compliance.
PresNa applies the same compliance guardrails to both chat and voice interactions, tailored to your industry. These guardrails instruct the AI to identify itself as an AI assistant, decline to give professional advice, and route callers to a licensed professional or scheduled consultation. By industry:

Medical and dental clients may request a Business Associate Agreement (BAA) from PresNa prior to deployment. Deployment without an executed BAA where one is required may violate HIPAA. Contact hello@presna.io to request your BAA.
You may not use PresNa to: violate any applicable law or regulation; impersonate any person or entity; transmit spam or unsolicited communications; collect personal information without appropriate consent; or engage in any activity that could harm PresNa's infrastructure or other customers.
When you provide a mobile number in your PresNa dashboard and tap “Text me a code,” you consent to receive a one-time SMS verification code and related account-service text messages from PresNa. For practices with AR Solutions (Recover) enabled, this also includes account balance and payment-reminder messages governed by Section 16 below, sent only to contacts with separate, documented billing-communications consent. Message frequency: for verification codes and account/service notifications, messages are sent only when you request a code or as needed (low frequency; typically one message per request); AR Solutions message frequency and caps are described in Section 16b. Message and data rates may apply. Reply STOP to opt out of further messages at any time, or HELP for help. Opting out of verification texts may prevent activation of SMS-dependent features. Carriers are not liable for delayed or undelivered messages. We do not share your mobile number or SMS consent with third parties for their marketing. To the maximum extent permitted by law, PresNa's total liability for any claim arising from use of the Service shall not exceed the amount you paid to PresNa in the 3 months preceding the claim. PresNa is not liable for indirect, incidental, consequential, or punitive damages.
PresNa targets 99.9% uptime for all plans. Pro+ plan subscribers receive an SLA with defined remedies for downtime. Scheduled maintenance windows will be communicated in advance. PresNa is not liable for outages caused by third-party services (Anthropic, Stripe, Netlify, etc.).
PresNa reserves the right to modify these Terms at any time. We will provide at least 14 days' notice of material changes via email. Continued use of the Service after notice constitutes acceptance of the updated Terms.
These Terms are governed by the laws of the State of Wyoming, United States, without regard to conflict of law principles. Disputes shall be resolved in the courts of Laramie County, Wyoming.

Unlike the general Terms above, this section has been reviewed by licensed counsel (attorney review completed 2026-07-28). It governs a separate, standalone consent presented at signup only when AR Solutions is added — accepting it is not implied by, and does not substitute for, acceptance of the general Terms above.
This section applies when a practice enables PresNa AR Solutions ("Recover") for a client or patient account, and governs the automated SMS and email communications PresNa's AI sends on the practice's behalf regarding an outstanding balance.
By enabling AR Solutions for a contact's account, the practice represents, warrants, and attests that: (i) it has obtained explicit, documented prior consent (written, electronic, or recorded verbal consent) from the account holder authorizing automated SMS and email communications regarding account billing and balances, pursuant to the Telephone Consumer Protection Act (TCPA) and applicable state privacy laws; (ii) the contact information provided is accurate, current, and belongs to the debtor or authorized guarantor; and (iii) the practice agrees to indemnify PresNa against any claims arising from unconsented outreach resulting from inaccurate data entry or failure to obtain prior consent.
Required Consent Language: To satisfy (i) above, the consent presented to and accepted by the account holder must disclose, at minimum: the types of messages sent (automated account balance and payment-reminder text/email messages), the frequency (varies; capped at no more than 7 contact attempts per rolling 7-day period per Section 16b), that message and data rates may apply, that consent is not a condition of purchasing any service, and how to opt out (reply STOP to any message, or HELP for help). A compliant model script practices may use or adapt is: "By providing your phone number and email for billing purposes, you agree to receive automated text and email messages from [Practice Name] about your account balance and payment reminders. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent is not a condition of purchase."
Cadence & Caps: Tier 1 (SMS) and Tier 2 (SMS + Email) utilize automated reminders on a fixed, disclosed cadence, strictly capped at no more than 7 contact attempts per rolling 7-day period. Branding & Vendor Role: All communications are practice-branded only — PresNa acts strictly as a technology communications platform vendor on behalf of the practice and is not a third-party debt collection agency. Opt-Out: Every automated SMS contains an automated opt-out mechanism (e.g., "Reply STOP to opt out"); unsubscribe requests are processed automatically within 24–48 hours across all channels. Privacy Guardrails: For medical and dental accounts, no Protected Health Information (PHI), diagnosis, treatment details, or specific dollar balances appear in unauthenticated SMS or email previews — recipients are directed via secure link to an authenticated portal. Human Handoff: Tier 3 is strictly human-only; all AI-automated outreach permanently ceases once an account escalates to Tier 3.
A practice may optionally enable escalating, age-based payment incentives, which require the practice's own standing written authorization on file in the AR Solutions dashboard settings panel — no incentive is offered without it. The practice is solely responsible for ensuring any prompt-pay discount, fee waiver, or settlement-style offer complies with applicable payor contracts, state insurance laws, and healthcare billing regulations, including anti-kickback and routine-waiver rules where applicable. If the contact disputes the debt, all automated collection activity pauses immediately pending human review — the system never auto-resolves a dispute. If hardship is indicated, the account is flagged and routed to the practice's own hardship/payment-plan policy.
PresNa does not report account status to any credit bureau. If an account is referred to PresNa's collections network at Tier 3, PresNa keeps 0% of any contingency fee recovered — the network is compensated directly from the outcome, and the practice's PresNa subscription price does not change.
